Hotel policy compliance key in program optimization
When traveling for business, do you book your hotel through the approved methods, with the approved properties, and take advantage of the included amenities? If not, you have an opportunity to help your company achieve its savings and “optimization” goals by following corporate travel policies.
The Q4 issue of CWT Vision, released today, talks about the concept of hotel program optimization, and the difference it can make for a corporate travel program. While some elements of optimization are related to rate audits and program reviews, one area where travelers can really make a difference is by knowing the travel policy for hotels, and following it. Here are a few tips:
- Booking your hotel—When you’re booking your hotel, make sure you’re booking it via the approved method. This might be via an online booking tool or by calling your approved travel management company. By booking via these methods, you’ll likely have access to reminders about which properties are within your travel program, and your company will also be able to track your reservation for safety and security purposes.
- Timing is key—Remember to book your hotel well in advance of travel, ideally at the same time you book your flight. By booking in advance, you’ll have a better chance of securing a room at one of your company’s preferred properties, at the rate your company has negotiated.
- Making the most of amenities—Your company may have negotiated discounted or free amenities as part of your room rate. Find out if free parking, breakfast, or internet access may be included, and take advantage of these benefits to help your company save money.
- Offer feedback—Your company can only improve its travel program if it knows what you, the traveler, like and don’t like about a hotel. Offer your input so it can be considered the next time your company is deciding what hotels will be a part of their preferred program.
